How do I book a Vivian Stays property?
You can book directly through our website at vivianstays.com on each property page — this is always the best way to secure the lowest rate and most personalized service. We also accept inquiries by email at the address listed in our Contact section, or by phone at 650-668-5123.
Why book direct instead of through Airbnb or Vrbo?
Booking direct with us means lower fees, the best available rate, and a more personal relationship with our hosting team. You'll work directly with us from inquiry through checkout, and we can often accommodate special requests more easily.
Is there a minimum age to book?
Yes. The primary renter must be at least 25 years old at all of our properties.
What is required to confirm my booking?
Every booking requires three things at the time of reservation: a security deposit authorization (a hold on your card, not a charge), a signed guest accommodation agreement, and a photo ID. The security deposit is only charged if damages occur or house rules are violated.
What is your cancellation policy?
Cancellation terms vary by property and season. Specific terms will be outlined in your guest accommodation agreement at the time of booking. Please reach out to us directly if you have questions about a specific date range before booking.
Do you require all guests to be listed on the booking?
Yes. The total number of guests must be listed in your booking and must not exceed the maximum occupancy for the property. This is important for safety, insurance, and to keep the home properly stocked for your group.
Can I add extra guests after booking?
Possibly — please reach out to us before adding guests so we can confirm it's within the property's maximum occupancy. Unannounced additional guests may result in a charge from your security deposit.
Do you offer discounts for longer stays?
We do offer reduced nightly rates for weekly and monthly stays at most of our properties. Reach out directly for a custom quote on extended stays.
What time is check-in and check-out?
Check-in is after 4:00 PM and check-out is before 10:00 AM at all of our properties. These times allow our cleaning team to fully prepare the home for the next guest.
Can I request early check-in or late check-out?
We do our best to accommodate when the schedule allows, but early check-in and late check-out are never guaranteed. Please ask us a day or two before your arrival or departure and we'll let you know if it's possible.
How do I access the home?
All of our homes use self check-in via smart lock or lockbox. You'll receive detailed arrival instructions, including the door code and parking guidance, before your stay.
Will someone meet me at the property?
Our self check-in process is designed to give you flexibility — there's no need to coordinate an in-person meeting. That said, our team is always reachable by phone or message during your stay if you need anything at all.
What do I need to do before checking out?
Just the basics — start a load of dishes if any are dirty, place used towels in the bathroom, take out the trash if you've had a long stay, and lock the doors behind you. Detailed checkout instructions will be sent before your departure.
What's included in the home?
Each of our homes is fully stocked with luxury linens, towels, a fully equipped kitchen with cookware and modern appliances, high-speed Wi-Fi, smart TVs for streaming, and starter supplies of toiletries and paper products. We aim to provide everything you'd expect at a high-end hotel and more.
Will there be coffee, tea, or basic pantry items?
Yes — we provide starter supplies of coffee, tea, and basic pantry essentials like salt, pepper, oil, and cooking spray. For longer stays, you'll likely want to do a grocery run for additional groceries.
Are linens and towels included?
Absolutely. We provide premium mattresses, fresh linens, and a generous supply of towels. You won't need to bring any bedding or bath linens.
Is Wi-Fi available?
Yes, all of our homes have high-speed Wi-Fi. The network name and password will be provided in your check-in instructions and posted in the home.
Do you provide hair dryers and toiletries?
Yes. Each home includes hair dryers and a starter supply of shampoo, conditioner, body wash, and hand soap. For longer stays you may want to bring your favorites.
Are pets allowed?
Well-behaved pets are welcome at Falcon Cove Retreat, The Blue Arbor, and the Silas Fulton Historic House for an additional fee. Please let us know in advance how many pets you're bringing so we can confirm. We ask that pets stay off furniture and that any accidents are cleaned up immediately.
Are parties or events allowed?
No. Parties, events, and loud music are not permitted at any of our properties. We want all of our guests — and our neighbors — to enjoy a peaceful environment.
Is smoking allowed?
Smoking is not permitted indoors at any of our properties. Outdoor smoking may be allowed in designated areas — please ask if you're unsure. Evidence of indoor smoking will result in a deep-cleaning charge.
Can I have visitors who aren't staying overnight?
A small number of daytime visitors is generally fine, but please reach out beforehand. The total number of people on the property at any time should be reasonable for the home and respectful of neighbors.
What happens if something gets damaged during my stay?
Accidents happen — just let us know as soon as possible so we can address it before the next guest arrives. Minor wear and tear is expected and not your responsibility. Significant damages may be charged against your security deposit authorization.
